AI and automation
How Much Does an Automation Agency Charge? 2026 Prices
The short answer
Published agency prices in October 2026 run from about $90 an hour (an India-based n8n agency) to $250 an hour (a US Zapier consultancy), $300 to $1,000 for a simple single workflow, and $2,500 to $8,000 or more for a done-for-you system such as a GoHighLevel build. On top of the agency fee you pay the tool subscription and any AI usage, and you should budget for maintenance, monitoring and failed runs, which most quotes leave out.
How much does an automation agency charge in 2026?
Automation agencies charge in four ways: by the hour, a fixed price per workflow, a monthly retainer, or a project fee for a whole system. Published prices checked on October 25, 2026 put simple single workflows at a few hundred to a few thousand dollars, full systems from about $2,500 to five figures, and hourly rates at $8.50 to $250, depending on where the team is and what it includes.
Every figure below is the named firm's own published price, linked to its page; none is a 1920 Agency price. Tool subscriptions and AI usage sit on top of every row.
| Pricing model | Provider type | Published example |
|---|---|---|
| Hourly | Offshore staffing (Philippine VAs) | VA Masters: $8.50 to $14 an hour, full-time Zapier VA |
| Hourly blocks | India-based n8n agency, US-targeted | MSquare: $90 (1 hr), $300 (5 hrs), $549 (10 hrs), $1,000 (20 hrs) |
| Hourly blocks | US Zapier consultancy | XRAY in Zapier's partner directory: $250 an hour, no retainer |
| Per workflow | India-based n8n agency | MSquare: "most single-workflow projects" $300 to $1,000 |
| Per workflow / package | UK-registered agency | Zaps Studio: from $1,000 (workflow sprint), from $3,000 (revenue operations system) |
| Retainer | US GoHighLevel agency | Drive Leads: optional optimization from $750 a month |
| Done-for-you system | US GoHighLevel agency | Drive Leads: $2,500 to $4,000 core; $4,000 to $8,000 with CRM migration |
| Done-for-you system | UK consultancy | Axivon: first implementation £4,000 to £12,000 (indicative) |
| Done-for-you system | India-based agency serving Australia | Codingclave: A$1,950 to A$23,500, excluding GST |
Hourly pricing: what Zapier, Make and n8n experts charge per hour
Hourly rates for automation work run from under $15 an hour for offshore staff to $250 an hour for a US consultancy. Hourly suits fixes, audits and ongoing changes; on a new build you carry the overrun risk.
- Offshore full-time assistants. VA Masters lists a dedicated Zapier VA at $8.50 to $14 an hour, or $1,360 to $2,240 a month at 160 hours. Flexiple, a hiring platform with a developer pool in India, models freelance Zapier contractors at about $14 an hour and labels that a market rate, not a price.
- Offshore agencies selling to US buyers. MSquare, with offices in Thane and Kozhikode, India, sells n8n time at $90 for one hour; its 20-hour package is $1,000, which works out to $50 an hour.
- US consultancies. XRAY's listing in Zapier's Solution Partner Directory offers 4, 10 or 20 hours of "a vetted low-code engineer's time at $250 an hour, with no retainer." Flow Digital, in the same directory, sells a 75-minute implementation session for $297.
For freelancers, VA Masters' comparison table puts Upwork Zapier freelancers at $15 to $75 an hour and US or UK Zapier consultants at $75 to $200, and Drive Leads gives $50 to $150 for independent GoHighLevel experts. These are those firms' estimates, not marketplace data.
Per-workflow fixed price: what one automation costs
A single automation, such as sending new form leads to a CRM with an instant reply, is priced by published agencies at $300 to $1,000 at the low end (an India-based firm) and from $1,000 at a UK-registered agency. A fixed price moves the overrun risk to the agency, which is why many buyers prefer it for a first workflow.
- MSquare says "most single-workflow projects cost between $300 and $1,000," and that multi-workflow or AI-integrated projects can cost more.
- Zaps Studio, registered in England and Wales and serving the US, Canada and UK, sells a "Workflow Rescue Sprint" from $1,000 and a "Revenue Operations System" from $3,000.
A fixed price is only comparable when the scope is: "one workflow" can mean three steps or thirty. A lead follow-up flow with a missed-call text-back, CRM update and owner alert is one workflow on paper and several systems in practice; our guide to automating lead follow-up shows what it involves.
Monthly retainers and maintenance plans
Automation retainers cover changes, fixes and monitoring after launch. Published examples run from A$80 a month for hosting and support at an offshore firm to $500 to $750 at US- and UK-focused agencies. Some agencies price upkeep as a yearly share of the build instead: 10 to 25 percent, by their own estimates.
- Zaps Studio: "Automation Partner" retainer from $500 a month.
- Drive Leads: optional ongoing optimization from $750 a month after a GoHighLevel setup.
- Axivon: ongoing support £300 to £900 a month (indicative).
- Codingclave: hosting, backups, monitoring and support at A$80 to A$240 a month.
LowCode Agency says to "expect 10 to 20% of build cost annually to keep workflows stable as APIs and apps update." Zaps Studio cites "industry guidance" of 15 to 25 percent a year. Neither names a study; treat both as rules of thumb.
A retainer earns its cost when the automations touch revenue (leads, bookings, invoices) and nobody on your team can read a failed run.
Done-for-you system builds
A done-for-you build sets up a whole system, such as a CRM with pipelines, forms, follow-up sequences and reporting, rather than one workflow. Published prices run from about $2,500 for a core GoHighLevel setup to $8,000 or more with migration, and one US consultancy starts with a $15,000 design sprint before quoting the build.
- Drive Leads, a US agency, lists GoHighLevel setup at $2,500 to $4,000 for the core build, $4,000 to $8,000 with CRM migration, and from $8,000 for white-label or multi-client builds, over 3 to 6 weeks.
- XRAY's listing in Zapier's directory starts with a 30-day design sprint for $15,000 and quotes the build afterward.
- Axivon charges a fixed £495 for a first review (credited against an implementation within 30 days), then indicates £1,000 to £2,000 for discovery and £4,000 to £12,000 for a first implementation.
For HighLevel specifically, our GoHighLevel setup cost guide breaks down what moves a build from the low end to the high end, and the GoHighLevel setup checklist lists what a complete setup should include, so you can check a quote against it.
What makes an automation project cost more
The cost of an automation is set by how many systems it touches, how good their APIs are, whether it includes AI, how much data it moves, how it handles failure, where it is hosted and how well it is documented. Error handling is the factor cheap quotes drop first.
| Factor | Why it moves the price | How much it moves it |
|---|---|---|
| Number of steps and systems | Each system needs its own access, field mapping and testing | Large. Drive Leads' range rises from $2,500 to $4,000 to $4,000 to $8,000 when a CRM migration is added |
| API quality | Weak or rate-limited APIs need workarounds | Small to large; unknown until someone checks the API |
| AI steps | Prompts need testing on real examples and a human approval point | Medium. MSquare says AI-integrated projects can cost more than its $300 to $1,000 single-workflow range |
| Data volume | Needs batching, deduplication and plan capacity | Small for build cost; can be large for the monthly tool bill |
| Error handling and monitoring | Alerts, retries, a run log and a pause switch take build time | Medium; this is what separates a demo from a production workflow |
| Hosting | Self-hosted n8n needs a server, backups and updates | Low for setup; adds a monthly cost (Codingclave: A$80 to A$240 a month with backups, monitoring and support) |
| Documentation and handover | Someone must write down what each flow does | Small to medium; often missing from the cheapest quotes |
Where a row has no figure, no firm we checked published one for that factor alone.
Tool subscriptions and AI usage you pay on top
Automation tools bill you directly, separately from the agency: in October 2026 Zapier starts at $19.99 a month billed annually, n8n Cloud at 20 euros, HighLevel at $97 plus usage, and Make has a free tier and credit-based plans.
| Tool | Entry paid plan (as published) | How usage is counted |
|---|---|---|
| Zapier | Professional $19.99 a month billed annually, 750 tasks; Team $69 a month billed annually (Zapier's pricing guide) | Per task: each successful action step; triggers, filters and paths are not counted (Zapier) |
| Make | Free plan with 1,000 credits a month; paid plans priced by credit volume | Per credit: most actions use 1, some AI features more; extra credits cost 25 percent more (Make) |
| n8n | Starter 20 euros a month billed annually (2,500 executions); Pro 50 euros (10,000 executions) | Per execution; the self-hosted Community Edition is on GitHub, and you pay for the server |
| HighLevel | Starter $97 a month; Unlimited $297; Agency Pro $497 | Phone, SMS, email and premium AI billed by usage on top |
A Zap with five action steps that runs 200 times a month uses 1,000 tasks, which is over the 750 in Zapier's Professional plan. The same flow is one execution per run on n8n. Our n8n vs Make vs Zapier comparison works through which tool fits which job.
AI model usage is billed by the model provider per token. At Anthropic's published prices, Claude Haiku 5.5 costs $0.10 per million input tokens and $0.50 per million output tokens (for prompts up to 100,000 tokens), and Claude Sonnet 5.5 costs $2 and $10. By our arithmetic, a step that reads 2,000 tokens and writes 300 costs about $0.00035 per run on Haiku 5.5 ($3.50 per 10,000 runs) and about $0.007 per run on Sonnet 5.5 ($70 per 10,000 runs). The model is rarely the expensive part; writing, testing and guarding the prompt is.
The hidden costs nobody quotes: maintenance, monitoring and failed runs
The costs most automation quotes leave out come after launch: APIs change and break flows, failures go unnoticed unless someone set up alerts, and failed runs have to be found, fixed and replayed. If nobody owns these, they land on you.
APIs change on a schedule
The apps your workflow connects to retire old versions of their APIs. Meta's Graph API version table shows v22.0, released January 21, 2025, expiring May 20, 2027, and v23.0, released May 29, 2025, expiring October 8, 2027. A workflow built against one version needs checking, and sometimes rebuilding, before it expires. Other platforms version their APIs on their own schedules. This is the work the 10 to 25 percent yearly upkeep estimates above are meant to cover.
Monitoring is not on by default
Each tool has failure handling, but someone has to set it up, switch it on or pay for it:
- n8n: an error workflow, which must start with the Error Trigger node, has to be set in each workflow's settings. It "runs if an execution fails" (n8n docs).
- Make: storing failed runs as incomplete executions is off by default and must be turned on in scenario settings (Make Help Center).
- Zapier: autoreplay of errored runs is shown as available on Professional, Team and Enterprise plans, not Free (Zapier Help Center).
Without it, a workflow fails quietly until a customer says nobody called back.
Failed runs need a person
Retries fix temporary errors such as a timeout, not a changed field name, an expired login or bad form data. Someone has to read the run log, fix the cause and replay the run, and that time sits in a retainer or is billed hourly.
Self-hosting moves the work to you
Self-hosted n8n removes the per-execution fee, but the server, backups, security updates and upgrades become someone's job. Codingclave's A$80 to A$240 a month is one published price for handing that back to an agency.
We run our own operations on automation (daily SEO monitoring, ad checks, and reports posted to team channels), so we build the alerts, retries and run log into the first quote rather than selling them later. If you want workflows scoped that way, that is how our AI and automation services are priced.
How to compare automation agency quotes
To compare automation quotes fairly, put them on the same scope (workflows, systems, error handling, handover and support period), then compare first-year cost including tool subscriptions and AI usage, not just the build fee. Ask every agency:
- What exactly is in scope? Each workflow, its trigger, every system it touches.
- What happens when a step fails? Who is alerted, and are failed runs retried and logged?
- Whose accounts does it run in? Yours or the agency's.
- What do I get at handover? Documentation, access, and a way to pause the flow.
- How long is support included, and what does it cost after?
- What will the tools cost each month at my volume? Tasks, credits or executions, plus AI usage.
Put the answers side by side. The cheapest build fee often has the most blanks. The same test works for ad management: our guide to Facebook ads agency costs asks whose account the campaigns run in and who bills the spend.
Red flags in an automation quote
The clearest warning signs are a price given before anyone has mapped the job, no mention of error handling, workflows built in the agency's own account, and claims of partnerships or results you cannot check.
- A firm price with no discovery. A fixed price set before anyone has looked at your systems is a guess.
- No error handling or monitoring in scope. Ask what happens at 2 a.m. when a step fails. If the answer is "it won't," walk away.
- Built in their account, not yours. If the agency owns the account, you cannot leave without a rebuild.
- No documentation. Without it, the next person starts from zero.
- Partner badges you cannot verify. Zapier publishes its Solution Partner Directory and n8n links an expert directory from its partner page. Check any claimed status there.
- Guaranteed savings. No honest agency can promise a number of hours saved before it has mapped the work.
How 1920 Agency prices automation work
1920 Agency does not publish prices for automation. We map the job first with the person who does it today, then quote a fixed price per workflow or project. Tool subscriptions and AI usage are billed to you directly by Zapier, Make, n8n, HighLevel or the AI provider.
Every workflow we build includes error alerts, retries and a run log, runs in your accounts or on a server in your name, and comes with documentation. A first workflow usually goes live in 2 to 4 weeks. We are an independent agency based in Islamabad, Pakistan, not a partner or reseller of these platforms.

Frequently asked questions
How much does an automation agency charge per hour?
Published rates in October 2026 range from $8.50 to $14 an hour for a full-time offshore Zapier virtual assistant (VA Masters), through $90 an hour at MSquare, an India-based n8n agency, to $250 an hour at XRAY, a US Zapier consultancy listed in Zapier's partner directory.
How much does one n8n or Zapier workflow cost to build?
MSquare says most single-workflow n8n projects cost $300 to $1,000, while UK-registered Zaps Studio's workflow packages start from $1,000. The spread comes from the number of steps and systems, AI steps, error handling and documentation.
Do I pay for Zapier, Make or n8n on top of the agency fee?
Yes. The subscription is billed by the tool provider to you, separately from the agency. Zapier's Professional plan starts at $19.99 a month billed annually, n8n Cloud Starter is 20 euros a month billed annually, and HighLevel starts at $97 a month plus usage charges.
How much does an automation maintenance retainer cost?
Published retainers include Zaps Studio from $500 a month, Drive Leads from $750 a month for ongoing GoHighLevel optimization, and Axivon at an indicative 300 to 900 pounds a month. Some agencies instead estimate 10 to 25 percent of the build cost per year.
How much does AI add to the cost of an automation?
The model usage itself is usually small: at Anthropic's published Claude Haiku 5.5 price, a step reading 2,000 tokens and writing 300 costs about $0.00035 per run. The larger cost is the build time to write, test and guard the AI step, which is why agencies such as MSquare price AI-integrated projects higher.
Is it cheaper to hire a freelancer on Upwork or Fiverr than an agency?
Usually per hour, yes. VA Masters puts Upwork Zapier freelancers at $15 to $75 an hour against $75 to $200 for US and UK consultants. Compare what each quote includes for error handling, documentation and support, because that is where cheap builds cut.
Does 1920 Agency publish prices for automation work?
No. 1920 Agency quotes a fixed price per workflow or project after mapping the job with the person who does it today. Tool subscriptions and AI usage are billed to you directly by those providers.
